How MIYO Compares

Three ways to staff your Special Education Program.

One that's Built for the Reality.

Most districts have tried at least one of the approaches below, and most have hit the same limitations. The comparison is what Directors of Student Services tell us when they describe what they had before partnering with MIYO Health.
In-House Hire Traditional Staffing Agency MIYO Health Recommended
Time to Hire 6–12 months for many specialties 60–90 days typical 30 days average
Coverage Local candidates only Geographic limits per agency Nationwide network, in-person + virtual

The Stakes for Special Education Leaders

Four Compliance Risks Turning IEP Gaps into District-level Liability

Open Special Education positions are no longer just a staffing inconvenience, they trigger a cascade of legal, financial, and reputational risk that lands directly on the Special Education Director's desk. The four risks below are the ones procurement officers and superintendents most often raise when MIYO Health enters a conversation.
Student in classroom highlighting real IEP compliance and support gaps in schools
OCR Investigations
Unfilled Special Education positions and missed services can trigger federal Office for Civil Rights complaints under Section 504 and IDEA, leading to investigation, corrective action plans, and public findings.
Due Process Complaints
Parents whose children miss IEP services have the right to file due process complaints. Each one costs districts an average of tens of thousands in legal fees plus settlement awards, before counting reputational impact.
Compensatory Minutes Liability
Every missed IEP service minute compounds into compensatory time the district must eventually deliver. Post-COVID backlogs in particular have created multi-year liability that grows the longer a position stays open.
Lost Medicaid Revenue
Every undocumented IEP-related service is unbilled Medicaid revenue. Districts lose hundreds of thousands annually to unfilled positions, missed documentation, and inability to generate compliant 837/835 files.
The IEP Reality

The Special Education Staffing Crisis isn't

Improving on its Own.

National data on Special Education staffing shows a problem that's been building for years and accelerating since 2020. The result: districts of every size are operating with chronic vacancies, growing service gaps, and parent dissatisfaction that translates directly into compliance risk.

MIYO's Integrated Approach

People. Platform. Process.

One Integrated Solution.

Most providers solve one piece, staffing agencies fill seats, software vendors sell platforms, consultants offer advice. MIYO Health is the only solution that combines all three into one integrated program designed for the realities of K-12 Special Education.

Service Delivery Models

In-person, Virtual, or Hybrid

Whatever Fits your District.

No two districts have the same staffing reality. Urban districts may have access to local providers but struggle with specific disciplines. Rural districts may have no specialists within a 100-mile radius. MIYO Health offers three delivery models, and most districts blend them based on case complexity and geography.
In-Person
Traditional staffing model. MIYO providers report to your school buildings on a regular schedule, integrated into the IEP team and district workflow.
Best for
Complex behavioral cases, hands-on therapy, building-based IEP teams
Virtual
Telehealth delivery via the MIYO platform. Reach rural and remote districts where local specialists don't exist. Reduce travel costs, substitute expenses, and disruption from snow days or weather events.
Best for
Rural districts, hard-to-find specialties (ASL, BCBA, DHH), substitute coverage
Hybrid
The most popular model. In-person for hands-on cases and IEP team meetings; virtual for specialized assessments, low-incidence services, or coverage during open positions. Maximum flexibility, optimum cost.
Best for
Most districts, combine local presence with specialty access on demand
The 30-Day Promise

From Open Position to First Session in Four Weeks.

Most districts have lived through the six-month hiring cycle for Special Education positions. MIYO Health's structured onboarding compresses that to 30 days through a dedicated implementation team and a network of pre-credentialed providers who can be matched and deployed quickly.

Medicaid Reimbursement

Turn IEP Service Delivery into

Recovered Revenue.

Most districts leave significant Medicaid reimbursement on the table, not because they're not delivering services, but because their documentation, billing, and file generation aren't tight enough to capture every billable minute. MIYO Health closes that gap automatically.
Built-In Medicaid Capture

Every Billable Minute,

Documented and Claimed.

Every MIYO provider documents service delivery directly in the IEP Compliance Platform. The platform automatically generates standard 837 files for claim submission and processes 835 ERA files for reimbursement, meaning Medicaid revenue is captured in the workflow, not chased after the fact.
Automated 837 claim file generation
835 Electronic Remittance Advice processing
Documentation that meets state Medicaid audit standards
Service log capture at the point of delivery
Diagnostic code & procedure code automation
State-specific Medicaid reporting templates

100%

Of MIYO-delivered IEP services are documented in a Medicaid-billable format from session one, no retrofitting, no missed claims, no end-of-year reconciliation scrambles.
Wraparound Services

Eight Services that Wrap Around Every Provider we Place.

A staffing agency drops a provider into your district and walks away. MIYO Health builds an entire support system around every clinician, handling clinical supervision, compensatory minutes, complex case management, and professional development so the provider integrates seamlessly into your district's workflow.

Meet the Providers

Behind the Platform.

MIYO providers are credentialed clinicians who choose school-based work because of the impact. They're not staffing agency placements counting hours, they're integrated members of the district team who build relationships with students, parents, and IEP staff.

Frequently Asked

What Special Education Directors

Ask Before they Partner with us.

The questions below come from real procurement and discovery conversations. If your specific question isn't here, schedule a consultation and we'll walk through your district's situation directly.

How does the 30-day placement actually work?

The 30-day average is built on three things: a pre-credentialed network of 5,000+ providers, a structured 4-phase onboarding process, and a dedicated implementation team that owns delivery. The first three days are discovery; the next week is matching providers from our network to your specific role; the third week handles credentialing, district orientation, and IEP review; and the fourth week is service delivery start.

For especially hard-to-find specialties (BCBA in some markets, DHH in many), we may extend to 45 days — but we'll tell you that upfront, not after you've signed.

What if a provider isn't the right fit after placement?

Every MIYO engagement includes backup provider coverage built into the contract. If a placement isn't working, for clinical reasons, fit reasons, or any other reason, we'll match a replacement from the network with no service interruption to students. This is one of the reasons our 90% provider retention rate matters: when fit is good, providers stay; when it's not, we make it right quickly.

How does virtual / telehealth IEP service delivery work?

Virtual delivery happens through the MIYO IEP Compliance Platform. The district provides a quiet space and basic equipment (most districts already have this); the MIYO provider connects from their licensed location. Documentation, IEP goal tracking, and Medicaid billing all happen in the same platform automatically.

Virtual works especially well for SLP, school psychology evaluations, social-emotional support, ASL/DHH services, and BCBA consultation. Hands-on OT and PT typically work better in person or hybrid.

What states are MIYO providers licensed in?

MIYO maintains licensed provider coverage across all 50 states, with concentrations in TX, FL, IL, CO, AZ, MN, NY, MA, NC, and CA. Many providers are cross-licensed across multiple states, especially for telehealth delivery. When you describe your state and specialty needs, we'll confirm coverage in the discovery call.

Do you handle compensatory minutes recovery?

Yes — and it's one of the fastest-growing parts of our business. Many districts accumulated significant compensatory minutes obligations during COVID and have struggled to deliver them since. MIYO has a dedicated compensatory minutes program that tracks the obligation, schedules delivery (often virtually for efficiency), documents completion, and produces audit-ready records.

For more detail, see our companion IEP Compensatory Minutes service page.

What's the contract structure?

Most MIYO engagements are annual contracts that align with the school year, with options for full-year, partial-year, or per-service models. Pricing is typically per-hour or per-FTE depending on the specialty and delivery model. ESY and compensatory minutes can be added as separate line items or rolled into the main contract.

We don't charge for the IEP Compliance Platform separately when you're using it with MIYO providers, it's included.

Can ESSER funds, IDEA Part B, or other federal sources pay for MIYO services?

Yes. MIYO Special Education services are eligible for IDEA Part B funds (the primary federal Special Education funding source), Medicaid reimbursement (which MIYO automates), and remaining ESSER allocations where still available. Some districts also use state-specific Special Education funding, Title I (in limited contexts), and grant funds.

Our team can help build the funding case for procurement and finance during the discovery process.

How does the IEP Compliance Platform integrate with our existing SIS?

The MIYO IEP Compliance Platform integrates with all major Student Information Systems, with documented compatibility for 90%+ of K-12 SIS deployments. Common integrations include PowerSchool, Infinite Campus, Skyward, eSchoolPlus, Aeries, and others. SSO integration with Clever and ClassLink is also supported.

We handle the integration setup as part of onboarding, your IT team is involved but doesn't lead the work.

How does MIYO support state-specific Special Education requirements?

Special Education compliance varies meaningfully by state, IEP forms, reporting requirements, Medicaid billing rules, and state assessment integration all differ. The MIYO platform supports state-specific configurations for major Sped states (TX, CA, FL, IL, NY, OH, PA, MA, CO, AZ, NC, MN, and others), and our wraparound team includes consultants familiar with state-specific requirements.

Ready to fill your open Special Education positions in 30 days?

Schedule a free consultation with our Special Education team. We'll review your current vacancies, compliance status, compensatory minutes backlog, and Medicaid revenue opportunities, then build a tailored plan to address all four.
